The Idea creation and costing process - what does it look like

Blue22 has a long history of project management and knows the professional process of working with clients to meet the brief. Below is a high level summary of what this process looks like.

Step 1 - Creating the concept plan to create life-long memories

Every great experience starts with an idea. It’s the job of Blue22 to lead a process where the client’s brief is understood and then work through a process make it memorable.

Blue22 is special because it creates life-long memories while always honouring the client’s brief.

There is an “Ideation” process designed to create the perfect unique experience for you and your guests.

The Blue22 team listens to the client so as clearly understand the brief

  1. The purpose of the event

  2. The budget

  3. Timelines

The Blue22 team asks specific questions based on the client’s brief. During this conversation, ideas are immediately presented to gauge what the client likes and dislikes.

This process is very open and conversational ensuring the client always has control. Blue22’s role in this is to present options and collaborate, not to force the client into something that does not fit the brief.

From this mixture of client briefing and Blue22’s ideas of how to make it special, the scope of the event begins to form.

This process ends with a mutual agreement of the event, in concept. Both Blue22 and the client approve this concept.

The first step of planning is done!

This first step comes at no cost to the client.

Step 2 - Estimating the cost of the event

This is where the Blue22 team go away and provide high-level estimates of the cost of the agreed “Concept”. This costing process provides an accuracy of total event cost within an accuracy range of plus/minus 15%. This is done intentionally because while the “dream” sounds great in concept, everything costs money.

Because the Blue22 team understands the budget limitations they will work hard to meet this requirement and if for any reason the high-level estimate is over the budget, and explanation will be provided along with suggestions of what can be taken out to meet the budget but also meet the other experiential requirements.

This high level costing process does cost and is discussed in the first meeting. However, if the project is approved, this cost is credited back to the client.

Step 3 - Finalising and fixing costs

If the high-level estimate is approved by the client, Blue22 conducts a deeper layer of planning to provide the client with the following layer of detail….

  1. Fixed costs for the entire project

  2. Fixed costs for the Blue22 team to bring the event to life

  3. Fixed timelines to verify the date of the event

  4. The commercial payment structure of the event

  5. A summary of the commercial relationship so the client is clear on how Blue22 works and engages with the client

  6. Terms of Services Agreement to formalise the commercial relationship between Blue22 and the Client

This may sound like an unnecessary layer of detail, but this is designed to protect the client and provide complete transparency of the event being delivered and the relationship between the two parties.

Blue22 never wants to work with the client once. This is the start of a long term relationship and the only way Blue22 can create this bond is to lay down all the promises it intends on keeping and then work hard to deliver on every promise.
